Grants Administrator
Position Overview
We are seeking a dedicated and highly organized Grants Administrator to join our organization, where your critical thinking and attention to detail will directly impact our ability to serve Scouting America mission. As a Grants Administrator, you will play a vital role overseeing grant administration for a portfolio of grants through all stages of the grant lifecycle to ensure funds are disbursed in accordance with policy. In this role, your duties will be to ensure data integrity, provide customer support to external parties, and support internal staff. In this position, you will manage and monitor a portfolio of grants authorized by the Scouting America and Scouting America Foundation while maintaining consistent and accurate grant processing. You will interface with various stakeholders, including program staff, donors, and internal partners to ensure compliance with grant guidelines and fiscal policies. We are looking for someone who is not only passionate about making a difference but also possesses strong analytical skills to analyze grant requirements and outcomes accurately. This position also requires you to have knowledge of grant management software such as Blackbaud Grants Management, SmartSimple, and other grant platforms.

Responsibilities
- Oversees grant workflow processes related to data entry to ensure adequate internal controls and accurate and efficient reporting of grants data for a portfolio of grants in alignment with grant workflow. Communicates grant administration guidelines and policies to staff, grantees, and applicants as needed.
- Sources, organizes, uploads, and files backup and supporting documentation for restricted funds supporting a portfolio of grants. Understands and documents all restricted fund purposes and approved uses within this portfolio and updates as needed when new funds are established. Matches fund purposes with potential grant recipients. Communicates fund information to potential grant recipients to maximize utilization of funds based on annual budget allocations
- Collaborates with program staff to track and measure the impact of grant-funded projects and provides information to donor stewardship team.
- Delivers trainings for grant applicants and staff on topics such as compliance, policies and procedures, technical troubleshooting and all systems related to grants management.
- Monitor grant spending to ensure it aligns with budgeted amounts and grantor restrictions. Assist in developing grant budgets and financial forecasts.
- Coordinates with the financial administrator grants admin to facilitate timely and accurate grant distributions and payments.
- Maintains comprehensive records of all grant-related correspondence, documentation, financial transactions, to ensure that all records are organized and easily accessible for audit and compliance purposes.
Competencies
- Knowledge of: Grant management and administration, Grant Management software, non-profit accounting and management, principles, practices, and methods of budget, financial, , and data analysis and control; impact analysis generally accepted accounting principles (GAAP) and practices as they relate to the development and monitoring of operating budgets.
- Skill in: Excellent attention to detail. Planning and organizing work within context of long-term and complex assignments; performing multiple, concurrent tasks with frequent interruptions; communicating effectively both verbally and in writing; utilizing personal computers, client server systems, mainframe systems, programs, and applications. Communicating effectively both verbally and in writing; interacting with people from varied socio-economic backgrounds; preparing reports; applying accounting principles and financial analysis and resource management methods; creating and maintaining effective working relationships with outside agencies and the public; working with little or no supervision; operating standard office equipment and software including spreadsheets, word processing, presentations, and electronic mail.
- Ability to: Follow workflow processes and procedures; manage multiple competing priorities and consistently deliver.
Education
Bachelor’s degree in business administration or related field from an accredited college or university
Qualifications
- 5 – 7 years of experience in working with grants and contracts. grant writing, grant administration, or grant management experience.
- Must pass a criminal history background check.
Preference: Experience in grants management software (Blackbaud Grants Management, Fluxx, SmartSimple, etc).
Physical Requirements
- Visual acuity to read information from computer screens, forms, and other printed materials and information.
- Hearing acuity for verbal communication, conversations, face-to-face interactions, and/or responses via telephone and telephone systems.
- Speaking ability for general communication and ability to clearly enunciate in conversations with others.
This is primarily a sedentary office classification although standing in work areas and walking between work areas may be required. Finger dexterity is needed to access, enter, and retrieve data using a computer keyboard or calculator and to operate standard office equipment; vision to read printed materials and a computer screen; hearing and speech to communicate in person and over the telephone. Positions in this classification occasionally bend, stoop, kneel, reach, push, and pull drawers open and closed to retrieve and file information. Employees must possess the ability to lift, carry, push, and pull materials and objects weighing up to 25 pounds.
